Introduction

P/F Luna (“Luna”, “Hiddenfjord”, “we”, “us”, or “our”) is obligated to ensure the confidentiality, integrity, and accessibility of the information we process about our customers, suppliers, and employees, including personal data. Hiddenfjord takes data protection very seriously and continuously works to safeguard personal data by prioritizing IT security and ensuring compliance with data protection legislation.

Our Processing Activities

Below is a description of the personal data we process, the purpose of the processing, and the legal basis for each processing activity.

Purpose:
The processing is necessary for us to recruit employees, including processing job applications and assessing your qualifications in relation to a specific or future position.

Legal Basis:
The processing is necessary for pursuing a legitimate interest in connection with our processing and evaluation of the application pursuant to Section 8(1)(6) of the Data Protection Act.

Registered Individuals:
We register information about individuals who apply for jobs with us. We may also identify and register individuals whom we consider interesting as potential future employees.

Types of Personal Data:
We process ordinary personal data submitted by the applicant, including name, address, telephone number, and email address, as well as other information the applicant provides, such as application letters, CVs, diplomas, health certificates, references, and recommendations.

Source:
As a general rule, the information comes from the applicant. During the recruitment process, we may search for publicly available information online and on social media. Information may also come from third parties assisting us in the recruitment process.

Retention Period:
If the applicant is not hired, the information will be retained for up to 12 months from the end of the application deadline stated in the job posting. Consent will be requested to retain the information.

Recipients:
As a general rule, we do not disclose personal data to third parties. However, we use selected IT service providers to a limited extent in connection with the transfer and storage of information. We ensure that necessary agreements are in place with IT providers to guarantee that personal data is processed in accordance with data protection legislation.

Purpose:
The processing is necessary for managing our customer relationships and selling our products to customers.

Legal Basis:
The processing is based on our legitimate interest in maintaining customer relationships and developing our products based on customer needs and expectations pursuant to Section 8(1)(6).

Registered Individuals:
The customer as well as the customer’s employees.

Types of Personal Data:
We process ordinary personal data such as name, telephone number, email address, job title, and similar information.

Source:
The information comes from the customer.

Retention Period:
We retain information for 10 years from the end of the year of the most recent customer relationship/delivery. In certain cases, special circumstances may justify retaining the information for a longer or shorter period.

Contact information for former employees of the customer will be deleted as soon as we are informed that the individual is no longer employed by the customer.

Your Rights

As a registered individual, you have certain rights that Hiddenfjord is obligated to uphold.

You may contact us to gain access to the personal data we process about you. Likewise, you may request correction of inaccurate or incomplete personal data. If you wish to have your personal data deleted, restrict the processing of your personal data, exercise your right to data portability, or object to and stop the processing of your personal data, you may contact us.

Where we process personal data based on consent, you have the right to withdraw your consent at any time. To withdraw your consent, you may contact us.

Withdrawal of consent does not affect the legality of processing carried out before the withdrawal was made.
